Job Summary

We are seeking a creative and enthusiastic project coordinator in both marketing and events who will assist with the hands-on delivery of placemaking efforts in the London region. This individual will report into the Curator and Marketing Manager and work closely with the Vice President of Marketing and Communications, regional leasing and asset management teams to coordinate our events across the portfolio targeting our tenants and the local community.

Here’s what you can expect to be doing in your role:

  • Assist with the planning, coordination and execution of the annual events plan for each building in the portfolio with its focus on increasing leasing performance, tenant retention and brand awareness

  • Coordinate and assist with the delivery of events from proposal to oversight of events

  • Collaborate with building management teams, security and subcontractors to gather necessary information to successfully deliver marketing events

  • Effectively resolve and/or escalate any potential event issues in a timely manner

  • Managing event work efforts and tracking progress against the plan

  • Tracking invoices against projected event and marketing budgets

  • Writing and managing event RAMs, Method and Risk Assessments

  • Uploading RAMs in a timely manner via the Brookfield Electronic Permit Request System

  • Liase and manage relationship with planning consultants for timely applications and execution of planning permissions with the local councils, section 30s and parking dispensations when and if applicable

  • Feed into the event schedule for regional marketing activities and monitor deadlines

  • Booking event photographers and videographers

  • Managing filing systems and image libraries using Sharepoint and Dropbox

About You

  • Events experience 3-5 years'; real estate experience a definite plus

  • Excellent PC skills; experience in using: Outlook, Microsoft Word, Excel, PowerPoint, Sharepoint and Dropbox a plus and any electronic mailing systems/ EDMs like Mailchimp or Campaign Breeze. Social media and InDesign experience a plus.

  • Ability to manage relationships with multiple suppliers

  • Highly organised with excellent co-ordination and project management skills

  • Detail-oriented

  • Strong interpersonal skills and the ability to work with many personalities

  • Ability to work autonomously and as part of a team

  • Ability to work in fast-paced office environment required, to meet deadlines and

  • handle multiple projects simultaneously

  • Experience of coordinating time sensitive projects

  • Experience coordinating client stakeholders and subcontractors

  • A strong work ethic and self-starter

  • Creative and logical in approach to problem solving

  • Capable of effective prioritization, ability to work to deadlines and multitask on

  • variety of projects

  • This position includes occasional weekend and after hour work

  • Never to perform work you are not qualified to do or have not been properly trained for.

  • To inform the company immediately of any work situation which you reasonable consider represents a serious and immediate danger to health and safety or represents a shortcoming in the company’s arrangements health and safety.

  • To report to the company any medical condition you have and any medication or substance you are taking which could affect the safety of yourself or others.

  • To seek medical treatment for all injuries you sustain (no matter how slight they appear).

  • If required, to cooperate fully and promptly with any accident investigation carried out by the company.
